Let us be straight about this number. We have not found an Indian exam portal whose notification demands exactly 40 KB. What is extremely common is the band 20–50 KB — SSC, IBPS, RRB and most state PSC recruitment portals all use it for the photograph. 40 KB is where you should be aiming within that band, and this page is about why the middle is the right target rather than the edge.

If your form states a different number, go straight to the page that matches it: 50KB for a hard 50 KB cap, 30KB for signatures, or the UPSC page, whose band is much wider at 20–200 KB.

Why the middle of the band beats the edge

The instinct when a form says “maximum 50 KB” is to compress to 49 KB and feel clever. It is a bad instinct, for three reasons that have nothing to do with image quality.

Kilobytes are not kilobytes. Your operating system may report a file as 49 KB using 1000 bytes to the kilobyte, while the portal’s validator uses 1024. A file that macOS calls 49 KB is 50,176 bytes, which a validator checking against 51,200 accepts — but the same ambiguity at the other end of the scale is what produces the maddening “my file is exactly at the limit and it still fails” reports. A few kilobytes of margin makes the question moot.

Some portals re-encode what you send. A number of recruitment systems normalise the uploaded image server-side — stripping metadata, correcting orientation, occasionally re-saving it. The file that gets validated is not always byte-for-byte the file you selected, and re-encoding can move the size in either direction.

The floor is real too. Almost every one of these portals sets a minimum as well as a maximum, and the minimum is enforced just as strictly. Compress a photo down to 12 KB to be safe and it is rejected for being too small. From the middle of the band, a small miscalculation in either direction is still inside the range.

Keeping a face recognisable at 40KB

40 KB is not much for a photograph, and the temptation is to hold on to dimensions and crush the quality instead. Do the opposite. A 1600px-wide photo at very low quality looks worse at 40 KB than an 800px photo at moderate quality, because JPEG artefacts scale with the number of blocks it has to encode. Fewer pixels, better treated, beats more pixels badly treated every time.

Crop before you compress. A head-and-shoulders crop with your face filling most of the frame is what these forms want anyway, and it deletes the background you were spending file size on. Plain backgrounds help twice over: they satisfy the white-background rule and they compress almost for free, leaving your budget for the face.

Start at JPEG, Tiny preset, 800px width. That lands most phone photos in the 20–50 KB band. If you come out at 55 KB, step down to 720px rather than dropping quality further; if you come out at 18 KB, move up to the Smart preset and gain quality you are entitled to.

If the photo also has to be printed

Some candidates need the same photograph for the admit card and for a physical paste-on copy. The standard Indian print size is 3.5 × 4.5 cm, which at 300 DPI is 413 × 531 pixels — and that is where an important detail hides: 413 pixels is narrower than the 800px you compressed for the upload. The upload copy is therefore fine for print, but the reverse is not true. Keep the original photograph. Compress a copy for the portal, and take the print from the full-resolution file, not from the 40 KB version.

Why your upload was rejected

“File size exceeds limit” when you are at 49KB. Kilobyte arithmetic, or server-side re-encoding. Recompress to around 40 KB and the problem disappears.

“File size too small.” You went under the 20 KB floor. Move up a quality preset at the same dimensions.

“Invalid file type” on a file that ends in .jpg. Renaming a HEIC or PNG file does not convert it — the portal reads the file’s actual contents, not its extension. iPhone photos are HEIC by default. Convert properly with the HEIC to JPG converter.

How it works

  1. Check what your form actually says: Most say 20-50KB rather than 40KB exactly. 40KB is the middle of that band, which is where you want to land.
  2. Crop to head and shoulders first: Cropping deletes the background you would otherwise spend file size on, and these forms want a head-and-shoulders framing anyway.
  3. Set JPEG + Tiny + 800px: This puts most phone photos inside the 20-50KB band on the first try.
  4. Nudge dimensions, not quality: Over the band, step down to 720px. Under it, move up to Smart. Changing width beats crushing quality further.
  5. Keep the original for printing: Download the compressed copy for the portal, but print from the full-resolution photo, not from the 40KB file.

Which exam actually requires exactly 40KB?
We have not found one that states 40KB precisely. What is common is the 20-50KB band, used by SSC, IBPS, RRB and most state PSC portals for the photograph. 40KB is the sensible target inside that band rather than a limit in its own right. Check your own notification for the exact wording.
Why not just compress to 49KB if the limit is 50KB?
Because kilobytes are ambiguous — your OS may count 1000 bytes to the KB while the validator counts 1024 — some portals re-encode the file server-side, and the band has a floor as well as a ceiling. A few KB of margin removes all three risks at no visible cost to the photo.
What settings produce a file around 40KB?
JPEG format, Tiny preset, 800px max width, after cropping to head and shoulders. If you land over the band, reduce the width to 720px; if you land under it, switch to the Smart preset at the same width.
Will my face still be recognisable at 40KB?
Yes, provided you reduce dimensions rather than crush quality. An 800px photo at moderate quality looks considerably better at 40KB than a 1600px photo at minimum quality, because JPEG artefacts multiply with the number of blocks being encoded.
Can I use the 40KB file for my printed admit card photo?
You can, but do not. Print from the original. The standard 3.5 x 4.5 cm print at 300 DPI is 413 x 531 pixels, and while a compressed 800px upload has enough pixels, it no longer has the tonal detail that printing exposes.
