The declaration to handwrite

I, _______ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.

The Institute of Banking Personnel Selection asks for four scanned documents, and the IBPS CRP-PO/MT-XVI — Detailed Notification gives each its own file-size band and its own suggested dimensions. The photograph is 20–50 KB, the signature 10–20 KB, the left thumb impression 20–50 KB and the handwritten declaration 50–100 KB. All four are JPG/JPEG. The same set of documents and figures applies to the PO/MT and Clerk recruitments of this cycle.

“Preferred” dimensions are not the same as required ones

Every pixel figure in the IBPS annexure carries a qualifier. The photograph is “Dimensions 200 × 230 pixels (preferred)”; the thumb and declaration figures say “Preferred for required quality”. The file-size bands carry no such word: they are stated flatly. That difference matters. A file outside its size band is likely to be refused; a file a few pixels away from the suggested dimensions is following a recommendation, not breaking a rule.

The photograph shows why that reading is the honest one. The notice gives two figures for it that are not the same shape. The print size is 3.5 cm × 4.5 cm, a width-to-height ratio of 0.78. The preferred pixel box is 200 × 230 pixels, a ratio of 0.87. No single photo can match both exactly without being stretched one way or squashed the other.

MiniPx does not squash faces to make numbers line up. The tool scales the photo by one factor until it fits inside the preferred box, so a photo cut to the print proportion comes out at the full preferred height and about 179 pixels wide. If you would rather fill the box exactly, crop the photo to the box’s shape first — removing a little background at the sides, never distorting the face.

The handwritten declaration

This is the document unique to bank recruitment, and the one most likely to be redone. The notice asks for it to be handwritten in English, black ink, not in capital letters. The text to copy out is:

I, _______ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.

Write your name in the blank, in your own handwriting. The suggested size is 800 × 400 pixels at 200 DPI, which the notice equates to 10 cm × 5 cm — so write within an area roughly that size on the page, leaving a little margin, and the scan will fall naturally into the right proportion.

  • Copy the wording exactly. A reworded or abbreviated declaration is a different document.
  • Do not write it in capitals, and do not type it.
  • Its band, 50–100 KB, is the highest of the four because the image is the largest. A clean scan usually lands inside it with little compression.

Signature and thumb impression

The signature is the smallest image — 140 × 60 pixels preferred — and has the tightest band. The notice’s conditions: sign on white paper with a black ink pen, and not in capital letters. A signature written in capitals is not accepted, whatever its size.

The left thumb impression is a square: 240 × 240 pixels at 200 DPI, which is 3 cm × 3 cm on paper. Use black or blue ink, press once and lift cleanly. Crop the scan to a square around the print so the tool does not have to fit a rectangle into a square box.

The photograph itself

Beyond size and shape, the notice asks for a light-coloured, preferably white background. A recent, front-facing portrait without a cap or dark glasses is the safe choice. If your background is busy, the passport photo maker can replace it with white before you size the photo here. The notice adds that a live photograph is captured during the application; that capture is in addition to this upload.

Why IBPS uploads get rejected

A declaration that does not match the prescribed text, is in capitals, or is typed.

A signature in capital letters, or one compressed under the floor of its narrow band.

A photo stretched to the preferred box — a distorted face is a worse problem than a photo a few pixels narrow.

The four files mixed up at upload: it happens more than candidates admit, because all four are JPGs with camera-roll names. Rename each before you start.

How it works

  1. Write and sign on white paper: Copy the declaration text by hand in black ink, sign separately, and take your left thumb impression, each on plain white paper.
  2. Scan or photograph each document: Flat, in good light, then crop each image to the document with a small margin.
  3. Compress each to its own band: Photograph 20–50 KB, signature 10–20 KB, thumb 20–50 KB, declaration 50–100 KB. The tool keeps each image's shape and checks both ends of the band.
