It is one of the few notices that states a shape as well as a size, and that makes this signature a cropping problem first and a compression problem second.
A signature that fills most of the frame
Two of the notice’s rules are about what is inside the picture: black or blue pen on white paper, and signature occupies 70–80% of the image. The notice does not say whether that share is of the width, the height or the area, so read it as a general instruction: no huge empty margins, and no signature crammed against the edges. An ink-only crop of a typical signature is rarely the stated shape, so draw a light rectangle in the stated ratio on the paper first and sign inside it.
If you work on screen instead, cut a canvas to 300 × 120 pixels, the recommended size, and place the scanned signature so it fills most of it. That is the shape the tool wants to see. The recommendation is the notice’s own wording, “recommended”, so it is a target, not a hard pixel rule.
Why the ratio is checked, and how forgiving the check is
Exact ratios are brittle: a crop that is one pixel off is still the right shape to a person. So the tool accepts a narrow window around 5:2, from 2.44 to 2.56, rather than a single value. A signature strip that falls outside it is reported as the wrong shape, and no amount of compression fixes that. Crop it again to the ratio, then compress.
The size band, 20–100 KB, has a floor as well as a ceiling. Signatures are mostly white paper and compress to tiny files, so the floor is the one to watch: a small, crisp strip can land below it, in which case keep a larger canvas or a gentler setting so it grows back into the band.
- Draw a light box in the stated ratio on plain white paper.
- Sign inside it with the pen the notice names and photograph the sheet flat.
- Crop to the box and drop the image into the tool.
- Upload the JPG in the signature field of the GDS online engagement form.
Common rejection reasons

The photograph has a shape of its own
The photograph is a different ratio and band, 30–100 KB at 4:5, on the India Post GDS photo page, so a signature file cannot stand in for it. To bring any other image under 100 KB with no GDS checks, the 100 KB compressor aims at that size alone.
